Privacy Notice Policy

Our Lady’s Nursery hold respect for the privacy of children parents and carers in very high regard. We will therefore only collect information about you and your child that can be used to provide appropriate care for your child and to maintain a service to both you and your child that allows us to communicate with you effectively.

All information collected from you will be kept securely in a locked cabinet accessible to management and key staff only. We will ensure that appropriate security is in place to prevent personal data held electronically from being accidently or deliberately compromised. All information held by the parish office will be also be kept secure in accordance with the General Data Protection Registration guidelines.

The contact details provided by you will be used to allow us to contact you by email, post and phone, allowing us to share information about your child with you, and to provide information about the setting and plans for the curriculum. We will also use it to send invoices, & emails to provide you with updates and information of interest
relating to your child.

When the data is no longer required we will ensure that data is disposed of in a way that creates little risk of an unauthorised third party using it to the data subject’s detriment. Confidential information held on paper records, will be shredded or pulped; electronic memories will be scrubbed clean or destroyed. It should be noted that we have a statutory duty to retain some types of data for a specific period of time and that this timescale depends on the data collected.

There may be times when we will need to share personal information about you or your child with other organisations. We will obtain your permission prior to sharing any information, unless it is detrimental to the child to do so.

Examples include:

  • Safeguarding concerns
  • Requirement by government or law enforcement agency
  • Referrals for educational or development reasons

Parents have the right to see the data held about them and their child and to ask for any errors to be corrected. If you wish to to see the data please speak to the nursery manager, who will ensure that your request, will be dealt with within 1 month, and when possible sooner.

Parents can request that data is deleted, but that they need to be aware that:

  • We will not be able to continue to care for your child if we do not have sufficient and appropriate information about them
  • Even after the child has left the setting we have a statutory duty to retain some types of data for a specific period of time and that this timescale depends on the data collected.

If parents have a complaint about how we have kept their information secure, or how we have responded to a request to access, update or erase their data they should follow the nursery’s complaint policy. A referral can also be made to the Information Commissioners Office (Helpline on 0303 123 1113).
